- Meeting called to order at 5:02 pm. Convened via Zoom video conference. Attendees: Joyce Weis; Dave Miller; Timothy Ledna; Jim Williams; Alnise Wylse. Absent: Paul Alanson. A quorum was present.

- Time sheets- Jim to meet with Alnise on Friday to sign time sheets.
- Thank you notes- Alnise sending out during COVID, Jim to sign a selection on Friday.
- Board Positions
- Recognition of Sarah & Patrick’s service – A plaque shaped like a door. Jim to continue pursuing this.
- Assignment of board positions- Resolved last meeting, no further action needed.
- Potential board members
- Kendi Adams – active application – Kendi Adams was in attendance and discussion of her application was moved to the end of the meeting. (MSP Jim, Dave)
- David Buettner – active application – withdrawn due to conflicts of interest with being a District Attorney
- Financial Report
- Bookkeeping Update from Alnise – financial accounting is on track and monitored with multiple weekly meetings. Bill is lower this month due to higher efficiency.
- Donor Update – Donations picking back up the last three weeks, financially and materially. Alnise actively pursuing donor retention.
- Balance Sheets and Income Statement – Alnise went over account balances with the board. Jim has requested YHDP be accounted for as a separate project in the finances for better tracking.
- Months of Cash On Hand analysis
- Fund raising – general plan through Spring 2021 – discussed. OHN pushed back due to COVID and Virtual Paint Night scheduled in November. See Fundraising Committee notes.
- ED Report
- COVID update – All staff tested negative. Alnise working with other agencies on emergency COVID plan.
- Staffing update- New hires for staff. Shelter is now fully-staffed with a great mix of diversity to better service our population of youth.
- YHDP update – Almost at the end of the planning process. Alnise is working with the state YHDP team on this. Fairbanks Regional Team was awarded $320,000. Application will be submitted to HUD next week before the waiting process. Moneys may be dispersed by the end of 2020.
- Clearwater Update – Hired a new receptionist, but will need to look for another as she resigned. We have a temporary receptionist working right now. Housing Allowance for the Head Counselor under review with our bookkeepers.
- Professional Development Update – Certificate of Non-Profit Management – Alnise has been attending classes virtually instead of in Anchorage. This valuable information will be greatly utilized in the day-to-day duties of her position.
- Unfinished Business
- Red House – status update – Purchase wrapped up after obtaining check from Alaska Community Housing Foundation (takes a month to obtain funds from that organization). Staff state a key was dropped off today for the property. Alnise will work on setting up utilities tomorrow. Remove from unfinished business.
- New Board member orientation date
- Wednesday October 7th at 5pm. Former Board President Patrick Endres and Founder and former Executive Director Marylee Bates will be invited, as well as senior board members for input.
- Clearwater Counselors – additional capacity – Now that we have closed on the Red House, Alnise can start searching for a new counselor, who will be vetted and interviewed by Dave Bates, Head Counselor. The new counselor will take Alnise’s old office. There are a few potential candidates in mind.
- Update on Housing Allowance for Head Counselor of Clearwater – If cleared by a CPA, the board advised for Alnise to take action on this in a previous meeting. (See June 17, 2020 Minutes).

- Drake Street Next Steps –
- The Drake Street Project is a duplex in University West on the bus line which is intended for transitional youth ages 18-24 who can no longer stay at The Door shelter and who need assistance with learning to live independently.
- The board discussed how to manage this space until it is ready for the YHDP program which may distribute funds at the end of 2020. Options include: COVID temporary housing program, a house sitter, a property manager or a renter. There was a consensus towards the COVID program as it can reimburse $2,000 per individual and is short-term, contingent on the fact that claims for damages to the property can be made back to the entity running the program.
- Motion to pursue the COVID temporary housing program with Mike at City of Fairbanks to occupy the space until it is ready for the YHDP program. If the details work out according to board discussion, then Alnise is given permission to pursue. If not, then she will pursue a house-sitter with Joyce. (MSP Joyce, Jim) Passed unanimously.
- Dave Miller requested a plan for paying off the mortgage to be considered.
- Timothy has volunteered to check on the property once a week if needed.
- Discussion: 2021 Budget timelines and action items
- Proposed timeline: Alnise to work on draft for our October 2020 meeting, to be approved in November.
- Introduction of board candidates
- Action on board member candidate – Kendi Adams – Kendi Adams was in attendance virtually. After interview, a motion was created to accept Kendi to the Board of Directors (MSP Ledna, Williams.) Her application was accepted unanimously with a quorum.
