Planning and Operations / Program Development
Alternative Shelter for Winter: We are giving 110% to this right now. Dick is working 6 nights a week – 11 hours a night. I have been also working several nights a week here. It is not part of Sarah’s job description but that did not keep her from donating a night on her off days.
Policies: Thanks for looking over them. I plan to update them soon.
Insurance quote ended up being $3246.00 since we are in FPC’s building. This commercial policy was a lot of time and effort but suppose to be finalized on 11/30 and dated to start 12/1/2012.
Golden Valley Electric Association: Application to restore one of the meters – so we can run heat tape on the water line.
Employee: developing trainings, working on handbook, talked to Dept. of Labor:Wage and Hour folks. Just really wanting to hire some effective folks.
Human Resources / Staff and Volunteer Development
Staff:
Clearwater Counseling Family Support Counselor: Another nibble but this posting has expired on Monster.com
Shelter Supervisor and Shelter Assistants: We (Rodney, Michelle, Kathy and I) interviewed 4 applicants for Shelter Assistant and weekend person and hired two quality applicants. However, after accepting the positions, neither of them followed through; each for different reasons. The full-time person and her husband got orders to move. The second did not explain her reason, but she already had a full-time position and part time after hours position. So the day before we “opened” with a soft start – we had no employees except yours truly. I have set up more interviews this week. These applicants are even more qualified. I will let you know.
Staff “meetings” are on the fly – this month – when we see each other, we catch up. Don’t know what we would do without our Google Doc accounts & email.
Sarah: will be leaving Dec. 7 to take a much deserved vacation. She is going to England and will be back Jan.1, hence a lot of volunteer stuff will come to a pause.
Dick: is also winding down with his last day on 12/21 as an AmeriCorps member. He leaves 12/28. We could not be doing this without him right now. He is covering 6/7 nights of the week. WE NEED STAFF!
Volunteer Development: Sarah, Dick and Ashton have been dealing with this 100%. Sarah receives the applicants, Ashton schedules the interviews, all 3 do the interviews at FPC (though Dick is no longer doing that since he is working nights) and follow up with making sure background checks are done.
We have nearly 60 applicants somewhere in the process. At this time we are taking no more applications but we are scheduling interviews through Thursday of this week.
At this time, we’ve mailed 9 FBI fingerprinted cards away.
We provided a training 12/1 at FPC for volunteers. The second training will be 12/8 at FPC for volunteers. Both trainings are unique and not repeats.
Finances / Fiscal Oversight / Grant and Contract Management
Right now, I am sorry to say that I am just keeping on top of paying bills, recording donations, etc. Eventually, we will end up with a budget because we have done a great job of recording everything that costs us something.
We are about to submit for our first monthly report to Alaska Housing Finance Corporation. Break open the champagne – the Program Director is about to be paid!
Fundraising / Donor Development
Letters: First of all, a huge thank you to volunteer, Kara Spear donated 5 hours one day and 3 another to hand address letters individually, a little thank you, fold letters, stuff and address envelopes!
General Ask: Approximately 35 were sent to Alaskan companies. This was a compilation of businesses, unions, contractors, thanks to Danny and Dave M. who helped us with the list. Now we wait.
25% letter: This went to approximately 20 local building supply folks who have the ability to provide materials that can help meet the 25% match required for the CDBG. A tentative materials list was also included. (Thank you Dave and Danny for your efforts)
Please remember that the value of the house also counts as match, as does my time and Dave Miller’s time that is dedicated directly to that project. After that, it is materials only that counts toward the match. House is 169,000.00 and a 25 % match of 820,000 is $205,000 I believe. So $55,000.00 in materials or more and we are good.
Donor Development: We are starting to have monthly donors. This month 4 folks donated via Paypal. We also received cash and 6 checks were related to One Homeless Night.
11/9 Golden Heart Reading Association $1000 for E readers and books: On black Friday I purchased 4 Nooks – the basic ones were on sale. No books yet –
Cots, Towels, Personal Hygiene items, . . . . anything on Facebook is getting taken care of within a day or two!
Gary Pedretty: volunteering his time in – upgrading Dave’s computer and adding security systems (purchased through Tech Soup at discounted, discounts!
Eagle Scout Caleb: built two book shelves and filled them with books and games.
Board Development / Relations / Governance
New board member: Welcome Jeff Bizzarro. Jeff came over to the office to meet and we have talked and emailed a few times to get his questions answered.
The only thing that has come up that I would like to ask the board about is a back up signer. All 3 of the signers are travelers. My mistake – I got a call the night before telling me about the cost of the insurance coverage. . . never thought about getting a second sig. – but had to have it early the next day – no one available. CC wrote the check for us.
Maybe Kathie Gettinger ? Dave Bates? I need a back up person in town.
Holy Director’s Report Marylee! Are you sure the angel Gabriel did not give you this document in a dream? I’ve long believed that it is better to burn out than rust away, but conventional wisdom would correct Neil Young on that great song. There is a season for everything, and your diligent and hard work is well noticed and appreciated. Thanks for your efforts.
