Fairbanks Youth Advocates Board Meeting
July 30, 2014
Call to order: 5:00
Present: Tami Manning, Patrick Endres, Kathy Birch, Brad Johnston, Barbara Tyndall, Dave Miller, Marylee Bates

Minutes:
- Barb moved to approve June minutes as amended, Kathy seconded. Approved unanimously. Patrick moved to accept July 1 minutes, Tami seconded. Approved unanimously.
Signature Items: These were signed
- Arlys’ Contract
- Marylee’s timesheet
Voting Items:
- Signature authorization: We needed to revisit who can sign checks since this is a problem when members are out of town or cannot be reached. Currently two signatures a required for checks over $1000. Marylee said payroll and insurance need to be paid on time.
- Brad moved that the board authorize other board members to be signers on the checking account. Patrick seconded. Approved. (Present signers are Marylee, Nicole, Barb, Patrick. We are adding Tami Manning, Kathy Birch, & Dave Miller.)
- Brad suggested we authorize that payroll be signed by one signature. He would not approve this authorization for paying the credit card bill as this is the most vulnerable to abuse. We don’t have a card, so the bill goes through Clearwater Counseling and we reimburse them for our portion. All receipts are collected and recorded. We would like to eventually have our own card.
- Brad moved we authorize Arlys to do electronic payment for EFTPS and authorize one signature for payroll and insurance. Kathy seconded. Approved.
Health Club Benefits Proposal:
- Sunshine Committee is proposing memberships to Planet Fitness
- $15 per month per member
- $20 enrollment fee
- $29 annual fee in October
- Employees may be reimbursed this amount if participating in another fitness club (Add $15 to paycheck if they bring in receipt and membership card)
Executive Director’s Report:
- Marylee worked at the shelter last Saturday and noticed an intake hadn’t been done on a teenage boy. He’s been sleeping on friend’s couches. She asked him what had happened. He told her, “My mom left me at Wendy’s when I went in to get hamburgers.” She sent him a text that said you have 30 days to get out of the house (this was in March). He had a job until two weeks ago. He is now at the shelter. Sad thing is that he said, “She’s coming to get me soon.” I told him about Covenant House in case he goes to Anchorage. He last attended Lathrop High School when he was a freshman (he is now 18).
- We also have a young girl who hasn’t been in school since 8th grade.
- The Door now has an average of six clients per night. There were twelve different kids this month. We have had as many as eight. The ratio has changed; the number of girls and boys is now even and the age has dropped. Recently some parents dropped off a kid for a cool off. They are good parents and he is adopted. YES School came and got him.
- The staff is dealing with OCS on a weekly basis now. The first donor to The Door was the director of OCS.
- Barbeque Saturdays have about 15 kids attending. They stop in to eat and visit. Most are kids we have seen in the past who are older now.
- Nine volunteers served 250 hours in June.
- Pray for staff; they are weary and activity goes up and down.
- Military representatives who work with youth in military
- Angry, Young, and Poor Conference was attended by staff member.
- Public Health Comes to The Door every Thursday.
- Nikki is going on vacation.
- Marylee had taken the car and asked someone to sell it for us before she left on vacation. However, the car was stolen. This was captured on video with the license plate in plain view. Police said it was probably sold for parts in Delta by 8 am that morning. They predicted that we would never see this car again. Marylee had denied theft insurance so we have no reimbursement. Board agreed that the car was not worth as much as we would have paid to insure it.
Recent donor development and property purchase—future campus plans:
- FYA has made an offer on three properties. We are currently waiting for the donor to come forward to close this deal. Dave says we may need to find a tenant for the three bedroom apartment if we acquire this property. He suggested we hire a realtor to manage it and just give us a check. We do not want to be in the management business. It is less money but also less hassle. Donors are still interested in giving us the money. Dave knows an architect who is interested in helping us develop a campus with parking and a park.
Board members need to add volunteer hours to Google Docs.
Financial Report
- Brad went over review of tax return documents. These documents are available on our web site. Patrick asked that volunteer numbers be updated and that our mission statement be included.
- Brad reviewed the budget with the board. Patrick Endres proposed we accept the budget. Kathy Birch seconded. Approved unanimously.
- Brad discussed the Treasurer’s Report with the board.
Chair Reports
- Marylee and Patrick will be working on signs for the Door.
- Tami, Marylee, and Kathy will be attending the golf tournament.
Adding Signers
- Patrick Endres moved to add Tamara S. Manning, Dave Miller, and Kathy Birch as signers in addition to Patrick Endres, Barb Tyndall, Marylee Bates, and Nicole Merriweather. Barb Tyndall seconded. Approved unanimously.

Thanks Barb for the meeting minutes! I finally feel caught up on everything FYA is doing. What are the signs for that Marylee and Patrick will be working on?
