This report encompasses things that happened in March and April.
If my schedule could be transposed to a food, it might look like a tossed salad. My days are filled with a variety of tasks – but only a little time is spent on any one thing. As you know the Licensing Application has been heavy on my mind. Until it is off in the mail – it will be a distraction to everything else. We are very close to getting this completed. Niki is updating her resume and getting reference letters and we are finishing up a youth handbook. We may be printing and sending it this week or early next week. Then I will turn my focus on grant writing.
- Regarding 132 Tenth: Northrim has all they requested. Bill is out of the office this week. Should hear from him next week.

Planning and Operations / Program Development
- AHFC
- 2012/2013 grant update: at the March 31 deadline of spending 50%, we had spent 49%. Brad and I need to do a budget revision, ASAP, due no later than June 1. This grant ends June 30.
- 2013/2014 grant – we have been awarded (informally) $187,000 to operate July 1, 2013 to June 2014 See details below
- Shelter Report:
- 80+ different youth, 13-21, accessed the shelter since it opened.
- See website for latest statistics but April saw 416 bed nights, 46 different youth
- Less kids on the weekends, more on the weekdays –
- Volunteers: Sarah S continues to interview 3-5 new people each month. We have about 41 active volunteers either volunteering 9-12, 9-8, or 12-8.
- 138 Tenth: RFP is done. Dave M and I looked at it and provided feedback.
- Missionary position (House Parents) We have paid for several postings for this – and have got 2 responses from single women. I would like to put more time into this – but have not.
- Overnight emergency youth shelter AND The Door: We have seen as many as 21 youth on one night. The Door will never hold 21. We are moving forward with FPC to discuss the idea of operating an emergency shelter here in the basement. Though there is no final decision – they have invited us to refinish the unfinished basement and use it as we need. If we continue at FPC, I would recommend that we overhaul the bathrooms and shower at a minimum.
- T-Shirts: We ordered 25, & Should be done by May 10. See Facebook page. They came to a little over $18.00 a piece. I had planned to give each staff one. Everyone else purchases if they want one. We already have an idea for next one. Just our web address on the back.
- Met with Trevor Storr: Alaska Childrens Trust
- Alaska Children’s Trust www.alaskachildrenstrust.org/ The mission of the Alaska Children’s Trust is to improve the status of children in Alaska by generating funds and committing resources to eliminate child abuse
Public Relations & Communications
- E-newsletter – went out end of March. But according to the speakers at the Foraker leadership conference – e-newsletters are ineffective. We need to do a mail out. I would suggest we start with doing at least 1 a year and maybe 2. Main letter – timed with end of November – Thoughts?
- Signature FYA Cookie Thank yous. Going well, 3 delivered, more planned
- Clear Channel Media: PSA’s they are playing these in prime time free of charge.
- First United Methodist – Sunday School Focus on Hunger. They collected a huge amount of food for us and brought it to shelter.
- Outreach events:
- Health Summit – FMH – March 19th – Had a table display/ 15 min. presentation
- Mission Connexion – April 20, (thanks Rilene for helping) We need to do this each year – a good opportunity to connect with other faith groups, the faith community and the general public
- April 19th – Dave Bates guest speaker – UAF Bible Study Group – (Pornography)
- Health Fair – April 27 we tabled at this event with volunteers – VISTA Sarah supervised
- Facebook, Twitter, Website: We are constantly communicating via these sources and re-evaluating them.
- First Presbyterian (FPC): We are contributing a significant amount of garbage daily to FPC’s dumpster and they need it dumped more often. They are going to get a larger dumpster to be dumped less frequently. I offered that FYA would pay funds for the difference. We have begun to recycle cardboard.
Finances / Fiscal Oversight / Grant and Contract Management
- Finances: This is my weakest area – I feel. I rely heavily on Brad right now to file reports accurately. Fridays I spend 1-5 hrs. paying bills, payroll, recording, deposit & following up on thank yous. I (and Brad) look forward to being able to hire someone (as of July 1) to take on these responsibilities.
- Grant Management:
- 1. We received word that we scored #4 in state for Basic Homeless Assistance Program (BHAP) for $187,000 and the Emergency Solutions Grant (ESG) for 23,000.The BHAP was for salaries for all activities and the ESG was for utilities for The Door.
- 2. Alaska Community Foundation: This is on hold until summer
- 3. Alaska Children’s Foundation would be very interested in helping us with training (Trauma Informed Care) and would support $$ a training/mentoring relationship with Covey House. Covey House is in agreement – have yet to work out details.
- 4. Rasmuson: talked to them about new furniture and office furniture – they invited us to submit a grant – said it was a good first time interaction with them – they like to help with capital projects as a way of getting to know an agency, etc.
- 5. AK Mental Health Fund: Am planning to ask for seed money for the youth and family counselor.
- 6. FredMeyer: Letter:“I work in the Public Affairs department for Fred Meyer and am responsible for the Fred Meyer Fund, which distributes grants throughout Alaska, Idaho, Oregon and Washington. A few months ago, we had a conference calls with the stores in our various districts to determine some potential grant recipients throughout our region. During our call with the Alaska district, Fairbanks Youth Advocates came up as an organization that the stores would love to support. As youth development is one of our core giving areas, it seems as though your non-profit would fit great. I just wanted to touch base with you and get this process started and see if you had any initial ideas of what a grant could be used for. Also, one thing to keep in mind is that in order for it to be approved by Fred Meyer and Kroger, we need to be able to show that we are getting good visibility for it and that our customers and employees in the area are seeing what we are doing. At this point, we are probably looking in the $15,000 range so let me know if you have any initial thoughts.”
I have responded to Fred Meyer with a suggestion for a youth mentoring/employment readiness idea – have not heard back
