BOARD MEETING<\/strong><\/p>\n

April 21, 2016<\/strong><\/p>\n

Call to order<\/strong>: 5:08<\/p>\n

Present<\/strong>: Patrick Endres, Sarah Finnell, Tami Manning, Dave Miller, Liz Fabian<\/p>\n

Staff:\u00a0 Marylee Bates, Sarah Smith<\/p>\n

Open in Prayer<\/strong>: Tami Manning opened in prayer<\/p>\n

Update by Sarah Smith<\/strong>:<\/p>\n

Sarah reported that the 5K will take place May 28th<\/sup>.\u00a0 Lily of Valley Church is handling all the details.\u00a0 There is a need for volunteers.\u00a0 They are calling it the Faith Walk.\u00a0 No time has been set yet.\u00a0 Runners will leave from Pioneer Park. They are still working on the route.\u00a0 The church needs help financing the t-shirts.<\/p>\n

Sarah is researching the idea of a Dinner\/Dance fundraiser.\u00a0 The best time seems to be October.\u00a0 She suggested a Halloween theme with costumes.\u00a0 Raven\u2019s Landing was suggested for a location.\u00a0 They would cater the event.<\/p>\n

Having restaurants donate a portion of all sales for a certain night was another idea<\/p>\n

Sarah also suggested a shooting competition with entry fees and trophies.<\/p>\n

The board discussed these ideas. The restaurant idea was pursued.\u00a0 Board members agreed to contact various restaurants to see if they would participate and what time of year would be best.\u00a0 It was thought that fall or early winter would be good times.<\/p>\n

FYA Review<\/strong>:\u00a0 Looked at staff link on website.\u00a0 Part time varies considerably from employee to employee.\u00a0 The web site is up-to-date.<\/p>\n

Minutes:<\/strong> Tami moved; Patrick seconded to accept minutes.\u00a0 Approved unanimously. *<\/p>\n

Unfinished Business:<\/strong><\/p>\n

Discussion\u00a0concerning board member Chick Wallace who has not been attending meetings or responding to calls or e-mails.\u00a0 Dave will contact him to see if he wants to continue to be on the board.<\/p>\n

Office of Secretary and Board Member Discussion:<\/strong>\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Meeting May 13 to discuss bookkeeping and quick books accounts for FYA and Clearwater.<\/p>\n

Signature Items:<\/strong>\u00a0 Necessary forms were signed.<\/p>\n

Patrick accepted Barbara Tyndall\u2019s resignation as Secretary and nominated Tami Manning to be the new Secretary.\u00a0 Liz Fabian seconded.\u00a0 Approved unanimously. Tami is already a check signer. *<\/p>\n

ED Report: <\/strong><\/p>\n

Marylee Bates reported that while removing the old house, workers found two oil tanks and some of the\u00a0oil leaked.\u00a0 This was duly reported.\u00a0 DEC came out and also Alaska Environmental Resources.\u00a0 AER and Marylee made a plan for sharing purpose and mission.\u00a0 DEC has been responsive in keeping the project low cost and mitigating the damage.\u00a0 The bid from R&D was $2200.\u00a0 The plan is to clean it up and finish in one day. This should be taken care of by mid-May and will cost a maximum of\u00a0$4400.<\/p>\n

A traffic barrier has been proposed consisting of doors\u00a0available for \u00a0youth to create their art.\u00a0 There would be an annual artistic event for youth to submit their ideas.\u00a0 Winners would win the right to paint the door with their design.<\/p>\n

Marylee is working on grants due\u00a0 May 15.\u00a0 The National School Lunch Program grant\u00a0is taking up a lot of her time.<\/p>\n

The staff appreciation barbeque will be in June this year.\u00a0 This event coincides with the FYA staff meeting.\u00a0 The board\u00a0selected June 8 from 5:30 to 6:30 for this event.\u00a0<\/strong><\/p>\n

Review of Evaluations:<\/strong><\/p>\n

Board Self Evaluation\u2014Board reviewed self-evaluations\u00a0and noted high and low marks.<\/p>\n

A parent brochure is done and is being sent out.<\/p>\n

There was discussion on using doors for traffic barrier along the street.\u00a0 Board likes the idea but was concerned that it might look junky.<\/p>\n

June 12 to July 2 Next Step Ministries will be here to work on our Green Space.\u00a0 The goal is to create a Chill Spot with a fire pit, flowers, and benches.\u00a0 Marylee is getting kid input on this.<\/p>\n

Marylee reported that The Door was full last week.\u00a0 Twelve youth signed in; nine spent the night.\u00a0 Last night there were eight youth.<\/p>\n

Board ED Evaluation\u2014table until next meeting.<\/p>\n

Board discussion on evaluation forms.\u00a0 Need to be simplified and made electronically.\u00a0 May need to hire someone to work on our website.<\/p>\n

Reports:<\/strong><\/p>\n

Dave moved that board request an annual report from the Clinical Director.\u00a0 Patrick seconded.\u00a0 Approved unanimously. *<\/p>\n

Financial\u2014Approved budget had a mistake.\u00a0 Don\u2019t have excess money.\u00a0 We are doing a\u00a0good job with staff budget.<\/p>\n
