{"id":3010,"date":"2015-05-28T16:06:16","date_gmt":"2015-05-29T00:06:16","guid":{"rendered":"http:\/\/www.fairbanksyouthadvocates.org\/board\/?p=3010"},"modified":"2015-09-02T11:03:43","modified_gmt":"2015-09-02T19:03:43","slug":"may-2015-draft-minutes","status":"publish","type":"post","link":"https:\/\/fairbanksyouthadvocates.org\/board\/2015\/05\/28\/may-2015-draft-minutes\/","title":{"rendered":"May 2015 Minutes"},"content":{"rendered":"<p>&nbsp;<\/p>\n<p><strong>Fairbanks Youth Advocates Board Meeting<\/strong><\/p>\n<p><strong>May 27, 2015<\/strong><\/p>\n<p><strong>Call to Order<\/strong>: 5:00<\/p>\n<p><strong>Present<\/strong>:\u00a0 Patrick Endres, Brad Johnston, Barb Tyndall, Kathy Birch, Sarah Finnell,<\/p>\n<p>Meryem Kugzuk, Dave Miller, Liz Fabian, Chick Wallace,<\/p>\n<p>Rodney Gaskins, Marylee Bates, Niki Merriweather<\/p>\n<p><strong>Absent:<\/strong>\u00a0 Tami Manning, Dean Gustafson<\/p>\n<p><strong>Open in Prayer<\/strong>: Kathy Birch opened in prayer<\/p>\n<p>Patrick announced that this will be Kathy\u2019s last meeting as she is moving to Washington.\u00a0 Brad Johnston is also leaving our board since Liz Fabian has come on to be our accountant and treasurer.\u00a0 Kathy left the meeting.<\/p>\n<p>Niki Merriweather, our shelter supervisor, gave an introduction to SWOT, which is a form of program analysis.\u00a0 SWOT focuses on strategic planning and decision making.\u00a0 It also identifies the positives and negatives of an organization.\u00a0 Niki showed a power point presentation of the method which identifies strengths, weaknesses, opportunities and threats of a program.\u00a0 Niki will create a spread sheet for board to give input.<\/p>\n<p><strong>*<\/strong> She asked for a <strong>June 10 deadline<\/strong> to compile information.\u00a0 The outcome goal is to improve our program at The Door.<\/p>\n<p>Niki requested that board members come to the shelter and introduce themselves to staff.\u00a0 She suggested that staff be encouraged to come to the first part of our board meetings so that the FYA board can meet and hear from them and staff can hear from the board members.<\/p>\n<p>Rodney encouraged the board to get their own information and know what\u2019s going on at the shelter. There was discussion about how much should go around Marylee. \u00a0It was decided that some guidelines need to be put in place to see that the board is not circumventing the executive director.\u00a0 Triangulation is to be avoided.\u00a0 Some board members did not want assignments at the shelter; they felt they were maxed out.\u00a0 Other members said they needed an assignment or it wouldn\u2019t get done.\u00a0 Nikki felt that the staff needs to feel backed up by the board and at present they don\u2019t know who the board is.<\/p>\n<p>Discussion was tabled until next meeting.<\/p>\n<p><strong>* Minutes:<\/strong> Patrick moved to approve the April minutes.\u00a0 Chick seconded.\u00a0 Minutes were approved unanimously.<\/p>\n<p><strong>Property acquisition<\/strong>: \u00a0Patrick pulled up properties on Google Earth for board members to see.\u00a0 Dave passed out plans for our campus; mapping and written.\u00a0 Board members were asked to consider the plans, think about them, and give input.<\/p>\n<p><strong>Treasurers Report<\/strong>: Brad Johnston discussed the latest treasurer\u2019s report with the board.\u00a0 He pointed out that our cash positon has steadily increased from January to April due to solid public support.\u00a0 Grants are still in jeopardy until the state budget is passed by the legislature.\u00a0\u00a0 We have to cover expenses of $5000 a month.\u00a0 A third of our donations in November and December.\u00a0 Dave asked about our financial health overall.\u00a0 Brad said we have been working on it and we have a good team in place; a bookkeeper in place; cash reserves to operate (not just the bequest).\u00a0 We\u2019ve been growing operating cash at a healthy rate.\u00a0 Brad said we are in a fantastic cash position.\u00a0 (Report available on line)<\/p>\n<p><strong>Clearwater Proposal\/Plan:\u00a0 <\/strong>Dave Bates shared his vision for Clearwater.\u00a0 He wants to get another therapist on board as soon as possible.\u00a0 He has some individuals in mind.\u00a0 He would like to get someone on by this fall.\u00a0 Eventually he wants to get a third person.\u00a0 The counselor would receive 50% of gross receipts.\u00a0 He reported that we could be getting $100,000 per year for FYA when his counseling staff grows to this point.<\/p>\n<p>* \u00a0Dave Miller made a motion that the board allocate the expenditure of not more \u00a0 \u00a0 \u00a0 \u00a0 \u00a0 \u00a0 \u00a0 \u00a0 \u00a0 \u00a0 \u00a0than $40,000 to complete the Green House. Patrick seconded.\u00a0 Dave said the \u00a0 \u00a0 \u00a0 \u00a0 \u00a0 \u00a0 \u00a0 \u00a0 \u00a0 \u00a0 \u00a0 \u00a0 \u00a0money from the bequest is used to generate funds.\u00a0 The funds will be put back \u00a0 \u00a0 \u00a0 \u00a0 \u00a0 \u00a0 \u00a0 \u00a0 \u00a0 \u00a0 \u00a0 \u00a0into the account when the funds are acquired. \u00a0Motion passed unanimously.<\/p>\n<p>* \u00a0Patrick nominated Liz Fabian as Treasurer.
