{"id":2365,"date":"2014-04-06T20:09:56","date_gmt":"2014-04-07T04:09:56","guid":{"rendered":"http:\/\/www.fairbanksyouthadvocates.org\/board\/?p=2365"},"modified":"2014-05-06T21:35:55","modified_gmt":"2014-05-07T05:35:55","slug":"draft-board-minutes-4-3-14","status":"publish","type":"post","link":"https:\/\/fairbanksyouthadvocates.org\/board\/2014\/04\/06\/draft-board-minutes-4-3-14\/","title":{"rendered":"Board Minutes 4-3-14"},"content":{"rendered":"<p align=\"center\"><b>Fairbanks Youth Advocates<\/b><\/p>\n<p align=\"center\"><b>Board Meeting 4-3-2014<\/b><\/p>\n<p align=\"center\"><b>5:00-7:00<\/b><\/p>\n<p style=\"text-align: left;\" align=\"center\"><b>\u00a0<\/b><b>Call to Order: <\/b>5:03<b> <\/b><\/p>\n<p align=\"center\"><b>Present:<\/b>\u00a0 Patrick Endres, Kathy Birch, Meryem Kugzruk, Sarah Finnell, Barbara Tyndall, Brad Johnston, Dave Miller, Marylee Bates<\/p>\n<p style=\"text-align: left;\" align=\"center\"><b>Visitor:<\/b> Rodney Gaskins Executive Director; Fairbanks Rescue Mission\u00a0<b>\u00a0<\/b><\/p>\n<p style=\"text-align: left;\" align=\"center\"><b>Open in Prayer: <\/b>Barb Tyndall opened in prayer<\/p>\n<p style=\"text-align: left;\" align=\"center\"><b>Executive Director<\/b>\u2014Marylee reported that our Community Care License came in the mail tonight!\u00a0 FYA received many congratulations from organizations and agencies throughout Fairbanks.\u00a0 She will be sending a variance request for the downstairs room.<\/p>\n<p style=\"text-align: left;\" align=\"center\"><b>Approve Minutes\u2014<\/b>Kathy moved to accept; Sarah seconded.\u00a0 Approved unanimously.<\/p>\n<p style=\"text-align: left;\" align=\"center\">Reviewed requirements annual operating plan review.\u00a0 \u00a0Sarah reiterated points.<strong> Board needs to look at these before next meeting.<\/strong><\/p>\n<p style=\"text-align: left;\" align=\"center\"><b>OLD BUSINESS<\/b>:<\/p>\n<p style=\"text-align: left;\" align=\"center\"><b>Executive Director Evaluation<\/b>&#8211;Patrick posted ED job description on line.\u00a0 He passed out a rough copy of the evaluation form <b>.\u00a0 Brad, Barb, and Patrick will meet Monday, April 7 at 5:00 to hammer out the details of this evaluation form<\/b>.<\/p>\n<p style=\"text-align: left;\" align=\"center\"><b>Discussion of salary for ED<\/b>.\u00a0 Rodney suggested Marylee work herself into a 40-hour-a -week job.\u00a0 We should have a vision of a realistic salary and work slowly towards that.\u00a0 That gives incentive for the ED to work towards the goal.<\/p>\n<p style=\"text-align: left;\" align=\"center\">Marylee asked that the board would consider paying a minimum of at least her full salary.\u00a0 It is covered through the grants.\u00a0 There are extra funds to manage the grant&#8211; 7.5%.\u00a0 These can\u2019t be spent any other way.\u00a0 They should go towards salary. \u00a0Brad said we need to look at the actual costs at The Door before we assess this.\u00a0 Marylee said we need to spend these funds before June.<\/p>\n<p style=\"text-align: left;\" align=\"center\">Dave asked about paid personal leave.\u00a0 Do they use it or lose it?\u00a0 No cap has been set at this time.\u00a0 He suggested we have a policy concerning this so it doesn\u2019t build up to become a big cost to us.<\/p>\n<p style=\"text-align: left;\" align=\"center\">Rodney said the job description we have\u00a0is very detailed and should be covered in policy documents rather than in the evaluation form.<\/p>\n<p style=\"text-align: left;\" align=\"center\">Mark Harris\u00a0arrived.\u00a0 He has looked at our application and will be filling it out in the near future.\u00a0 He may be interested in the fundraising aspect of our board.\u00a0 He suggested we get the consumers to be involved in fundraising; throw it out to them to see if they can come up with something that appeals to them.<\/p>\n<p style=\"text-align: left;\" align=\"center\"><strong>Performance review<\/strong>\u2014Rodney said 360 is always good.\u00a0 He suggested the board should have actual comments on the form for each question.\u00a0 He said those are most helpful to the \u00a0executive director.\u00a0 Just checking boxes doesn\u2019t say much.\u00a0 The staff form is organized for their own words already.\u00a0\u00a0 Rodney said this is a tough job and our encouragement is valuable to keep Marylee here.\u00a0 He said to make the forms simple (five questions). The questions should cover things like how the\u00a0executive director\u00a0interacts with clients, community, etc.\u00a0 We can switch it up each year. line?\u00a0 Rodney said it should all be consolidated.\u00a0 All answers should be filed for each question and Marylee should receive all the data.\u00a0 Sarah said we could compile it and\u00a0have everyone\u00a0look at the forms on Google doc via teleconference. Some could meet together on speaker phone.\u00a0 We will work it out.<\/p>\n<p style=\"text-align: left;\" align=\"center\">The \u201cDon\u2019t know\u201d on the form is not a negative for Marylee.\u00a0 Some things we just don\u2019t know.<\/p>\n<p style=\"text-align: left;\" align=\"center\"><b>FYA Vehicle<\/b>\u2014The donated automobile is not yet registered.\u00a0 We need letter for the \u00a0IRS proving we are a 501 C3.\u00a0 The car should be worked over by a mechanic. \u00a0It is a 1998 Honda Civic.\u00a0 We are required to provide transportation for our clients<b>.\u00a0 Meryrem will call two mechanics<\/b> tomorrow to see if they can donate a safety check.\u00a0 This is all we need at the moment.\u00a0 Right now we can provide bus and taxi rides if kids need to be transported. Mark suggested training for staff in how to transport clients; from a risk management perspective.\u00a0 A number of staff have come from other agencies and have been trained.\u00a0 We need to get those who haven\u2019t, trained eventually.\u00a0 We don\u2019t hold or restrict; we call the police if necessary.<\/p>\n<p style=\"text-align: left;\" align=\"center\"><b>FYA Office (Pink Building<\/b>)\u2014Dave said we need to fill out paperwork by April 15 to get funds to fix the energy issue for the building. Energy audit includes the boiler, windows, etc.\u00a0 We are applying for this energy grant for non profits. Patrick asked what needs to happen to get the building ready in the next year. \u00a0Dave explained that the State of Alaska uses this money to upgrade buildings for the purpose of less pollution, etc.\u00a0 We may need to come up with money some day to put a roof on it.\u00a0 Patrick wants to paint it a different color.<\/p>\n<p style=\"text-align: left;\" align=\"center\"><b>ED Report<\/b>\u2014Marylee reported that we have served 2-7 kids a night the past few weeks.\u00a0 Due to a glitch at the church, we need to move things out of First Presbyterian.\u00a0 We may have the pastors from First Presbyterian over for lunch once we are open for business at The Door.\u00a0 Kids can come through around 4:00.\u00a0\u00a0 They can come in earlier but staff are trying to remain childless from 8-4.<\/p>\n<p style=\"text-align: left;\" align=\"center\">FYA is looking at extending <strong>security cameras<\/strong> to a three month contract.\u00a0 Gary Pedretti is working on that.<\/p>\n<p style=\"text-align: left;\" align=\"center\">The<strong> house parent position<\/strong> has been offered.\u00a0 We are waiting for a background check.\u00a0 After that a contract and room agreement will be drawn up.<\/p>\n<p style=\"text-align: left;\" align=\"center\"><b>Clearwater Counseling<\/b>\u2014Dave Bates reports that he has had the opportunity to hire two counselors recently.\u00a0 One is doing an internship and the other is a group therapist.\u00a0 They are strong believers and family people.\u00a0 They meet in the pink house for therapy sessions.<\/p>\n<p style=\"text-align: left;\" align=\"center\">The<strong> business managers position<\/strong> hasn\u2019t been filled yet.\u00a0 They have raised the rate of pay ($15 to $18) because we want highly qualified people.\u00a0 Rodney recommended TDL Staffing to find that person.<\/p>\n<p style=\"text-align: left;\" align=\"center\">FYA has two administrators (Marylee and Nicole) and seven staff at this time.<\/p>\n<p style=\"text-align: left;\" align=\"center\"><strong>Donations<\/strong> come in daily; sometimes more than one.\u00a0 Teens for Jeans collected 700 pair of jeans.\u00a0 Clothes, food, items, lamps, dishes are items that have been donated.\u00a0 We also receive financial donations.\u00a0 Marylee read a note which described a cupcake party and auction where 15 women raised $900 in checks.<\/p>\n<p style=\"text-align: left;\" align=\"center\">Marylee will spend the day at Covenant House in Anchorage tomorrow.<\/p>\n<p style=\"text-align: left;\" align=\"center\"><strong>Moneywise<\/strong>\u2014North Star Community Foundation wants to donate $5000 and want it matched.\u00a0 Goldenheart Gold want FYA to be the recipient for their fundraiser ($3000 about).<\/p>\n<p style=\"text-align: left;\" align=\"center\">Rodney said to screen donations for bedbugs.\u00a0\u00a0 Lot of hotels have them.<\/p>\n<p style=\"text-align: left;\" align=\"center\"><b>Big Thank You\u2019s<\/b>:\u00a0 Meryem suggested a nice dinner for staff and others to show our appreciation at getting The Door open.\u00a0 Board members would do the cooking.\u00a0 It was decided that sandwiches would be good.\u00a0 Lunches would be provided to First Presbyterian Church staff at The Door.\u00a0 The Fairbanks Rescue Mission staff would be served on a Thursday at noon.\u00a0 We also need to thank artists who donated artwork.\u00a0 One suggestion was a personalized note or photo with painting.\u00a0 Rodney suggested a picture of their artwork in the newsletter each month with their name.\u00a0 Mark said perhaps the consumers could interview the artists and write an article about them.\u00a0 Dave suggested a Word Document that is generic\u2014photo of staff with the art and a note of thanks and appreciation.\u00a0 These could be made ahead.<\/p>\n<p style=\"text-align: left;\" align=\"center\"><b>Treasurer\u2019s Report:\u00a0 <\/b>Report is available on-line.\u00a0 Brad reported that our income is in line with our budget.\u00a0 We have spent 20% of our budget.\u00a0 Patrick said we haven\u2019t delineated the time and shared space in the Pink House between FYA and Clearwater Counseling.\u00a0 The item was pushed back to May for completion. Travel budget has been spent.\u00a0 Need to add vehicle insurance in our line item budget.<\/p>\n<p style=\"text-align: left;\" align=\"center\"><b>Board President Report<\/b>: Patrick, Sarah, Marylee have produced a new newsletter.\u00a0 They upgraded Google apps to non-profit status.\u00a0Newsletter is\u00a0coming up soon.\u00a0 Brochures forthcoming.<\/p>\n<p style=\"text-align: left;\" align=\"center\"><b>Survey Results: <\/b>Sarah reported that seven people (staff) responded to eight questions.\u00a0 The survey showed that a health club membership would be the most appreciated incentive.\u00a0 Brad suggested we let them have their birthday off.\u00a0 Patrick said we could offer a couple of choices for incentives.
