{"id":2332,"date":"2014-03-03T21:32:12","date_gmt":"2014-03-04T06:32:12","guid":{"rendered":"http:\/\/www.fairbanksyouthadvocates.org\/board\/?p=2332"},"modified":"2014-04-06T19:57:14","modified_gmt":"2014-04-07T03:57:14","slug":"draft-board-minutes-2-26-14","status":"publish","type":"post","link":"https:\/\/fairbanksyouthadvocates.org\/board\/2014\/03\/03\/draft-board-minutes-2-26-14\/","title":{"rendered":"Board Minutes 2-26-14"},"content":{"rendered":"<p align=\"center\">Fairbanks Youth Advocates Board Meeting<\/p>\n<p align=\"center\">February 26, 2014<\/p>\n<p><b>Call to Order<\/b>: 5:06<\/p>\n<p><b>Present<\/b>:\u00a0 Patrick Endres,\u00a0 Meryem Kugzuk,\u00a0 Barbara Tyndall, Brad Johnston,\u00a0 Sarah Finnell,\u00a0 Kathy Birch, Marylee Bates<\/p>\n<p><b>Visitor<\/b>: Mark\u00a0 Harris<\/p>\n<p><b>Absent<\/b>:\u00a0 Dave Miller<\/p>\n<p>Barbara Tyndall opened in prayer.<\/p>\n<p>Patrick moved to approve the minutes; Kathy seconded.\u00a0 Approved unanimously.<\/p>\n<p><strong>Mission Review<\/strong>:\u00a0 Board reviewed goals set at our meeting with Foraker.<\/p>\n<p><strong>Unfinished business<\/strong>:\u00a0 Board reviewed financial information posted on the web site. \u00a0<b>Members committed to reading this by our next meeting<\/b><\/p>\n<p>ED Evaluation:\u00a0 No template arrived\u00a0from Foraker.\u00a0 Patrick found information on line.\u00a0 We need a committee to formulate the evaluation format.\u00a0 Patrick volunteered\u00a0for this committee.\u00a0 Brad and Barbara also volunteered.\u00a0 Patrick will interface with\u00a0them via\u00a0 internet.\u00a0\u00a0 Marylee offered to give\u00a0the committee\u00a0her job description to help with this.\u00a0 Brad\u00a0said we need to look at the goals and objectives we have given her and then evaluate how those have been attained.\u00a0 Our job is to give resources for her to accomplish these tasks.<\/p>\n<p>Mark Harris from Fairbanks Community Health Services arrived and board members introduced themselves to him. Mark and his wife came to Alaska for Boys and Girls .\u00a0 They have been in Alaska 18 months.\u00a0 He came to observe and is considering ways to help FYA.<\/p>\n<p><b>Donor Tiles<\/b> :\u00a0 Patrick suggested we add up donations through 2013 and see who has earned a tile.\u00a0 The tiles have names of donors or messages of hope to be put on the wall of The Door.\u00a0 Brad brought up the difficulties of measuring in-kind donations.\u00a0 Things have to be measureable to attach a value to them.\u00a0 Donated labor also requires a judgment call.\u00a0\u00a0\u00a0 Brad said to document how amounts are determined so we can establish a precedent for future donations.\u00a0 \u00a0\u00a0The board agreed that the policy will be to acknowledge cash donations and in-kind that has a readily established value.\u00a0 For 2012-2013 we will determine value to the\u00a0building and cash donations.<\/p>\n<p><b>Donor reports<\/b>\u2014Donations are recorded in quick books.\u00a0 Brad will have a record of donations for 2014.\u00a0\u00a0\u00a0Marylee will get totals from Google-Docs.\u00a0 We are hiring a person to do this leg work.\u00a0 Patrick said Marylee needs to have access to the quick book files to determine who our donors are and to\u00a0profile and target populations for future fundraising.\u00a0 Gary Pedretti has donated 40-60 hours of his time for IT.\u00a0 We would like to thank him in some way in\u00a0the future.<\/p>\n<p><b>House Parent <\/b>:\u00a0 We are trying to generate a funding source for this position (maybe local\u00a0churches).\u00a0 Marylee said that churches have already donated $6000 this past year.The board agreed that we should use these funds for this purpose.\u00a0 <b>Sarah moved,<\/b><b>and it was seconded by Kathy, that the donated funds from churches be used to fund the house parent position.\u00a0 Motion was approved unanimously<\/b>.\u00a0 Meryem volunteered\u00a0to visit other churches and educate them concerning this need.<\/p>\n<p><b>Treasurer\u2019s Report<\/b>:\u00a0 Brad reported\u00a0that Clearwater gave us $12,000 for first quarter.\u00a0 Report is\u00a0available on\u00a0line.\u00a0 Current assets are $ 129,000.\u00a0 We are ahead of the game.\u00a0 Brad issued a\u00a0caution, reminding us that the contractor hasn\u2019t sent us a bill ($70,000).<\/p>\n<p><b>Executive Director&#8217;s Report<\/b>\u2014Marylee said that last week they submitted the BEHAP grant and \u2026\u2026.grant which combined amounts to $220,000.\u00a0 The shelter is currently housing 2-5 kids nightly.\u00a0 Two new employees have been hired.\u00a0 These are fill- in, part-time\u00a0people at the moment.\u00a0 But we will\u00a0 need people on hand when The Door opens.\u00a0 There was a walk-through by the state licensing people today.\u00a0 Two large items we need to address are provisional background checks for all personnel and volunteers.\u00a0 We need to receive a code from the state to accomplish this.\u00a0 The cost is $80 per person and this item is not in our budget.\u00a0 However, Marylee pointed out that these volunteers save us a lot of money.\u00a0 We used $80,000 of volunteer time toward grant money.\u00a0 Volunteers filled a staff position for four nights when the staff person had a personal emergency.<\/p>\n<p>Donations continue to be dropped off at The Door daily.\u00a0 The student council of Tanana Middle School donated $400.\u00a0 A gentleman with a towing business came by and gave $100 and offered to train youth in his business.\u00a0 Another woman came by yesterday and handed Marylee $1000.<\/p>\n<p>Marylee will be gone from March 6-9 on vacation.<\/p>\n<p>This Friday, February 28, from 11-2 Marylee has invited agencies to walk through and see The Door.\u00a0 Marylee is submitting Sarah\u2019s name for Alaska First Lady\u2019s volunteer award.<\/p>\n<p><b>Meryem<\/b>Attended a\u00a0New Orleans conference on Ending Family and Youth Homelessness.Topics included Human Trafficking , Transitional Housing, and Family Mediation.\u00a0 Family mediation stressed the need to include the families of youth in the mediation process.\u00a0 Meryem\u00a0 said that she learned that homeless youth use social media quite a bit\u00a0and she thought it was a venue we could pursue to reach out to them.\u00a0 A homeless youth website was suggested.<\/p>\n<p>Meryem gleaned some ideas of how to reward our workers from Fanta(?).\u00a0 She suggested we offer one paid day off or maybe free movie tickets. She thought a survey \u00a0of what employees want would be beneficial.<\/p>\n<p><b>President<\/b>\u2014Patrick reported that we are out of brochures and it is re-crafting time for the newsletter.\u00a0\u00a0The opening of The Door will be big press event.<\/p>\n<p>He has done some back end review of Google analytics.\u00a0 Looking for demographics and age to\u00a0\u00a0market\u00a0 our donors.<\/p>\n<p>Marylee showed a picture of\u00a0 Claudia Pierson who is one of our volunteers.\u00a0 Her husband, Jeff, has volunteered to be our \u00a0facility man.<\/p>\n<p>The misc tab on our website has 2014 goals listed.<\/p>\n<p><strong>Board members were instructed to read the annual operating plan review and check out the links.<\/strong><\/p>\n<p>Forming a committee to work on Annual Operating Plan (Business Plan)was tabled until\u00a0the next meeting.<\/p>\n<p><b>Fundraising\u2014<\/b>Walk for Charity registration has been completed.\u00a0 A\u00a0 garage sale is also generating funds.\u00a0These are events that others are doing for us.\u00a0 We would like to create some events\u00a0 of our own.<\/p>\n<p>FYA Couch Surfing Race; 5 K Run\u2014ideas to brainstorm<\/p>\n<p>It was suggested that we add the Couch Surfing to One Homeless Night.<\/p>\n<p>It was suggested that we see if a volunteer would like to head up a 5K race in September.<\/p>\n<p>Patrick suggested we check with Running Club North to see runs listed and solicit expertise.<\/p>\n<p>Next meeting April 3, Thursday\u00a0 5-7<\/p>\n<p>How do we thank our donors?\u00a0 News Miner.\u00a0 Personal phone calls; personal letters.\u00a0 Brad suggested a letter saying \u201cHere\u2019s what you allowed us to do\u201d.<\/p>\n<p>For next meeting\u2014<strong>We need to be \u00a0thinking about long term plan for our office building<\/strong>.\u00a0 The building needs work.\u00a0\u00a0\u00a0\u00a0 A list of expenses should be generated.<\/p>\n<p>Meeting adjourned 7:04<\/p>\n<p>Respectfully Submitted<\/p>\n<p>Barbara Tyndall, FYA<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Fairbanks Youth Advocates Board Meeting February 26, 2014 Call to Order: 5:06 Present:\u00a0 Patrick Endres,\u00a0 Meryem Kugzuk,\u00a0 Barbara Tyndall, Brad Johnston,\u00a0 Sarah Finnell,\u00a0 Kathy Birch, Marylee Bates Visitor: Mark\u00a0 Harris Absent:\u00a0 Dave Miller Barbara Tyndall opened in prayer.
