{"id":2269,"date":"2014-02-02T19:50:57","date_gmt":"2014-02-03T04:50:57","guid":{"rendered":"http:\/\/www.fairbanksyouthadvocates.org\/board\/?p=2269"},"modified":"2018-04-30T08:31:57","modified_gmt":"2018-04-30T16:31:57","slug":"draft-minutes-1-22-14","status":"publish","type":"post","link":"https:\/\/fairbanksyouthadvocates.org\/board\/2014\/02\/02\/draft-minutes-1-22-14\/","title":{"rendered":"Draft Minutes 1-22-14"},"content":{"rendered":"<p align=\"center\"><strong>Fairbanks Youth Advocates Board Meeting<\/strong><\/p>\n<p align=\"center\"><strong>1-22-14<\/strong><\/p>\n<p><strong>Call to Order:<\/strong> 5:04<\/p>\n<p><strong>Present:<\/strong> Patrick Endres, Meryem Kugzruk, Sarah Finnell , Brad Johnston, Barbara Tyndall, Kathy Birch<\/p>\n<p><strong>Absent:<\/strong>\u00a0 Dave Miller<\/p>\n<p><strong>Visitor:<\/strong> Rodney Gaskins, Executive Director Fairbanks Rescue Mission<\/p>\n<p><strong>Open in Prayer<\/strong>:\u00a0 Patrick opened in prayer.<\/p>\n<p><strong>Minutes:<\/strong>\u00a0 Meryrem moved to approve the minutes; Kathy seconded.\u00a0 Approved unanimously.<\/p>\n<p><strong>Voting and signature items<\/strong>:\u00a0 Marylee left the room so the board could discuss the annual review of job contracts for Dave and Marylee.\u00a0 There was no change in Marylee\u2019s contract. \u00a0There was a discussion of whether or not to add COLA to Dave\u2019s salary and housing or add salary only.\u00a0 Dave has brought in 11% more income to FYA this year resulting in $50,00 more income in 2013.\u00a0 \u00a0Patrick spoke in favor of adding COLA to Dave\u2019s contract.\u00a0 He explained that Dave makes the income as a pastor and the money is tax free to us.\u00a0 Patrick moved to add COLA to Dave Bates salary and housing.\u00a0 Kathy \u00a0seconded.\u00a0 The measure passed unanimously.<\/p>\n<p>Employment Contract Agreements for Dave and Marylee were passed around for the board to review.\u00a0 Brad suggested a change to item 3 on Marylee\u2019s contract.\u00a0 We will amend Dave\u2019s contract to reflect the vote.<\/p>\n<p><strong>BHAP\/ESG Resolution<\/strong> passed around for board review.\u00a0 Marylee will be applying for these grants.<\/p>\n<p><strong>\u00a0Vocational Education Assistance<\/strong>:\u00a0 Marylee related the experience of a young man at the shelter who needed $211 (Vocational Education Assistance) FYA staff advised him to see what he could get on his own.\u00a0 He secured some funding from his mother.\u00a0 \u00a0But the staff wanted to know that day if we could pay this bill.\u00a0 Marylee expressed the need of a protocol for these situations.\u00a0 The young man made some effort on his own and is attending class.\u00a0 FYA will have an intern research all available resources for educational\/vocational assistance for youth in our care.\u00a0 Brad suggested we set \u00a0\u00a0guide lines to address each client equitably.\u00a0 There is not a line item in the budget for the money at this time.\u00a0 Marylee said that the youth also need to show some initiative in coming up with funding options.\u00a0 Patrick said he is comfortable with what is happening so far.\u00a0 He requested Marylee to write up these suggestions.<\/p>\n<p>Patrick asked Rodney Gaskins for his opinion.\u00a0 Rodney\u2019s concern was that this youth didn\u2019t just have this issue yesterday; he knew it was coming.\u00a0 Organizations do not need to get pushed into a crisis mode. He often tells his staff \u201cIf you\u2019re working harder that the person you\u2019re helping; then you\u2019re not helping.\u201d\u00a0 We are teaching this youth something.\u00a0 If we do positive things when presented with these situations, we teach the youth that we will respond to their crisis.\u00a0 Rodney said it is disrespectful to not require something from people for what we do for them.\u00a0\u00a0 Marylee responded and explained that someone is working with this youth to plan for the next semester.\u00a0 Rodney continued by saying we should not \u00a0give things away for free.\u00a0 Have clients work for it or pay it back.\u00a0 Even a dollar a week works.\u00a0 He also said not to let them work for FYA because we don\u2019t want them so attached to us.\u00a0 We don\u2019t want to be their sole provider.\u00a0 Brad suggested a form be created that gives the amount requested and terms of the loan.<\/p>\n<p>Patrick said that people have jobs for kids to do.\u00a0 We could create a list of jobs for youth.\u00a0 Rodney did not recommend this as we become responsible for youth on a job.<\/p>\n<p>Eventually FYA wants to have its own training programs.<\/p>\n<p><strong>\u00a0Next meeting date<\/strong>: Feb 25, 5:00-7:00 pm.<\/p>\n<p><strong>Vehicle needs<\/strong>\u2014A small economy Honda car has been donated and is at Patrick\u2019s house. \u00a0Right now a small car will do but will be inadequate as we get a full house.\u00a0 We are required to provide transportation.\u00a0 Ideal transportation would be a van to haul supplies and youth.\u00a0 There is \u00a0a question about the insurance issue regarding the donated vehicle.\u00a0 The car won\u2019t move from Patrick\u2019s house until insured. We have to prove it is available and insured.\u00a0 Marylee will research insurance and requirements.<\/p>\n<p><strong>\u00a0Director\u2019s Report<\/strong>:\u00a0 Patrick asked what the time-line would before licensing documents were mailed.\u00a0 Marylee said about six weeks and it will possible be mid February before we are licensed.\u00a0 The pink house is painted and Clearwater Counseling is moving into it.<\/p>\n<p>from Superior Hardwoods.\u00a0 She will take them to Award Makers to finish them.<\/p>\n<p>Marylee showed us a picture of Beth, a retired nurse and volunteer for FYA who comes once a week to do whatever needs to be done.\u00a0 She primarily writes thank you notes. Marylee wants the board to be familiar with those who are behind the scenes doing good work for FYA.<\/p>\n<p><strong>Treasurer\u2019s Report is on line<\/strong>:\u00a0 Brad reported that we had a good year.\u00a0 FYA shows a surplus of $3,775 which Brad emphasized we should not spend as we need this to get The Door up and running.\u00a0 The mortgage on pink house has been paid by FYA thus far.\u00a0 Dave Bates\u00a0may increase his payment to us quarterly to alleviate cost of mortgage and utilities.\u00a0 Brad says we need to work out a new agreement with Dave.\u00a0 We have a 37% increased revenue from last year.\u00a0 We budgeted for $43,600.\u00a0 Taxes have been paid.\u00a0 \u00a0Brad went over the details of the budget which is published on line.<\/p>\n<p><strong>Discussion of meeting with Foraker<\/strong>:\u00a0 Several members wanted financial training.\u00a0 Brad said we need to understand this aspect so we can keep him honest.\u00a0 We need to have an understanding of what the numbers and categories mean from the financial report.\u00a0 He distills it down to what \u00a0we need to know every month to assure that\u00a0we are in control of this program.\u00a0 Quarterly and year-end reports are much more detailed.\u00a0 Financial training was put on the agenda.\u00a0 Brad would like input from Foraker to train this board on what we need to know.<\/p>\n<p>Short term and long term goals have been met and need to be addressed again.<\/p>\n<p>Rodney suggested we focus on our role to Executive Director and the agency.\u00a0 He emphasized that we need checks and balances for accountability.\u00a0 The director should not run the board; board members need to run the board.\u00a0 The board\u2019s role is to keep the Executor Director encouraged but also accountable.<\/p>\n<p>Kathy brought up the evaluation for our Executive Director that needs to be addressed.\u00a0 We also need to do board evaluations again.<\/p>\n<p>Foraker training on Saturday, February 1 will address the following:<\/p>\n<p>&nbsp;<\/p>\n<ol>\n<li>\u00a0What is Foraker\u2019s advice to us at this point?<\/li>\n<li>Refining mission statement that is inclusive to Clearwater Counseling<\/li>\n<li>Updating our short term and long term goals; where do we go from here?<\/li>\n<li>Board relationship to Executive Director<\/li>\n<li>Board, Executive Director evaluations and conflicts of interest<\/li>\n<li>Long-term fundraising plans.<\/li>\n<\/ol>\n<p>&nbsp;<\/p>\n<p><strong>Employee Incentives<\/strong>:<\/p>\n<ol>\n<li>Membership to Planet Fitness?<\/li>\n<li>At end of year, bonus hours (if they normally work an 8 hour shift, then plus 8 hours, if they normally work 3.5 hours, then plus 3.5 hours?<\/li>\n<\/ol>\n<p>Patrick suggested we brainstorm on this, see if board members have other ideas, and revisit the topic.\u00a0 Marylee said we already offer a $1200 stipend for education.\u00a0 No one has taken us up on us yet.<\/p>\n<p><strong>CDBG Closure<\/strong> printed handout was passed out to give board some of the details of actual costs and donations for the building project.<\/p>\n<p>Marylee asked for feedback on Smoke Free Workplace.<\/p>\n<p>Fred Meyer fundraising for 2014.\u00a0 Sign up and give points to FYA<\/p>\n<p>Design Alaska wants to raise $ for FYA<\/p>\n<p>Credit Union 1 picked us for fundraising again; employees selected us as well.\u00a0 \u00a0A May 22 event has been planned and board members are asked to attend.<\/p>\n<p><strong>Meeting adjourned<\/strong>: 7:05<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Fairbanks Youth Advocates Board Meeting 1-22-14 Call to Order: 5:04 Present: Patrick Endres, Meryem Kugzruk, Sarah Finnell , Brad Johnston, Barbara Tyndall, Kathy Birch Absent:\u00a0 Dave Miller Visitor: Rodney Gaskins, Executive Director Fairbanks Rescue Mission Open in Prayer:\u00a0 Patrick opened in prayer.
