{"id":1721,"date":"2013-03-10T13:23:17","date_gmt":"2013-03-10T21:23:17","guid":{"rendered":"http:\/\/www.fairbanksyouthadvocates.org\/board\/?p=1721"},"modified":"2013-07-12T10:57:44","modified_gmt":"2013-07-12T18:57:44","slug":"fya-draft-minutes-3-5-13","status":"publish","type":"post","link":"https:\/\/fairbanksyouthadvocates.org\/board\/2013\/03\/10\/fya-draft-minutes-3-5-13\/","title":{"rendered":"FYA Board Minutes 3-5-13"},"content":{"rendered":"<p align=\"center\"><b>FAIRBANKS YOUTH ADVOCATES<\/b><\/p>\n<p align=\"center\"><b>Board Meeting<\/b><\/p>\n<p align=\"center\"><b>March 5, 2013; 5:00-7:00<\/b><\/p>\n<p><b>Call to Order:\u00a0 5:07<\/b><\/p>\n<p><b>Open in Prayer:\u00a0 <\/b>Danny Bramer opened in prayer<\/p>\n<p><b><\/b><b>Present:\u00a0 <\/b>Jeff Bizzarro, Sarah Finnell, Kathy Birch, Barbara Tyndall, Brad Johnston, Danny Bramer, Meryem Kugsruk, Patrick Endres<\/p>\n<p><b>Absent:\u00a0 <\/b>Dave Miller, Rilene Ann<\/p>\n<p><b>Review of mission statement and goals<\/b>:\u00a0 Facilitating life transitions for at-risk youth<\/p>\n<p>Core Purpose:\u00a0 Facilitating life transition for at-risk and vulnerable youth<br \/>\nCore Values:\u00a0 Unconditional Love, Hope, Restoration, Compassion, Faith<br \/>\nDanny moved to accept minutes; Jeff seconded.\u00a0 Unanimously approved<\/p>\n<p><b>Signatures or Votes:<\/b>\u00a0\u00a0 Letter to Dept. of Labor registering as an entity with the State of Alaska.\u00a0 Alaska Employer Registration Form signed by FYA officers.<\/p>\n<p>Moved by Danny Bramer that we make Jeff Bizzarro and Nicole Merriweather signers on Alaska USA bank account;\u00a0 Patrick seconded.\u00a0 Approved unanimously.\u00a0 Paperwork was signed for authorization.<\/p>\n<p>Discussion of ways to reach large donors:\u00a0 Jeff suggested a personal presentation from board members to organizations.\u00a0\u00a0 Members thought an invitation for a personal tour of The Door prior to a public open house would be appropriate.\u00a0 Danny said we should create levels of donations.\u00a0 Brad thought plaques for the walls of businesses would be appreciated.\u00a0 Other suggestions were to place adds in the newspaper thanking donors, post donors names on the walls of the shelter, and a personal phone call from board members (divided out) for individual donations of at least $500 a year or to a business that donates at least $1,000.\u00a0 This could be done immediately for large donations and yearly for accumulative donations.<\/p>\n<p>Marylee already writes hand-written notes to donators at the present.\u00a0 Patrick suggested that we make it an option for our youth to write thank you notes, as well.\u00a0 Perhaps a graphic wall could be created at the shelter that could be posted on our web site.<\/p>\n<p>Members agreed to research the giving levels of other organizations and hammer this out at our next meeting. The information should be posted on our web site.<\/p>\n<p>One\u00a0pallet of paper goods (paper plates, cups, plates) were donated from Unisource.<\/p>\n<p>Marylee posted a report from the Executive Director.\u00a0 She asked if there were any questions concerning that report.\u00a0 Danny asked if we are going to be open next year.\u00a0 Marylee said it is in the hands of the city.\u00a0 They say the timeline is targeting November as an opening date.<\/p>\n<p>November is Homeless Youth Awareness month.\u00a0 The RFP is still not completed.\u00a0 Marylee had been told it would be complete at the end of February.<\/p>\n<p>Cookie project: FYA staff are giving out cookies as a thank you to various entities.\u00a0 This entails a six pack of\u00a0three different types of cookies.\u00a0 It is just another way of thanking folks.<\/p>\n<p>Patrick brought up the fact that our clientele this winter is older than we expected (18-21).\u00a0 These don\u2019t fit the Rescue Mission.\u00a0 They need programs that work for them.\u00a0 It is not the targeted\u00a0 population of the Door either.\u00a0 These older youth don\u2019t want 24 hour shelter; just a bed for the night.\u00a0 They do not meet our criteria.\u00a0 To bring in the younger homeless, FYA staff are exploring how to reach junior high kids.\u00a0 Taking older youth does not jeopardize our funding since Alaska designates \u201cyouth\u201d as up to 24.\u00a0 But we need the younger population as well as these older youth. Some of the older youth have been couch surfing for three years.<\/p>\n<p>Board evaluation was put together by Kathryn and Meryem.\u00a0 There was discussion and some editing. It was mentioned that we are not obligated to accept funds from questionable sources.\u00a0 Members decided that the board needs to judge the effectiveness and appropriateness of our partnerships (donors, affiliates, and organizations.)\u00a0 The Board agreed to do this annually.<\/p>\n<p>The evaluation process of the Clinical Director was discussed and edited.\u00a0\u00a0 Members took out the third bullet under Administration\/Staff Support.\u00a0 Board Terms will be added by Patrick and Marylee\u2014discussion.<\/p>\n<p><b>Finances:<\/b>\u00a0 Brad is doing a lot of work for FYA.
