{"id":1468,"date":"2012-10-30T21:10:54","date_gmt":"2012-10-31T05:10:54","guid":{"rendered":"http:\/\/www.fairbanksyouthadvocates.org\/board\/?p=1468"},"modified":"2015-01-05T14:26:07","modified_gmt":"2015-01-05T23:26:07","slug":"draft-october-minutes","status":"publish","type":"post","link":"https:\/\/fairbanksyouthadvocates.org\/board\/2012\/10\/30\/draft-october-minutes\/","title":{"rendered":"October 29, 2012 Minutes"},"content":{"rendered":"<p align=\"center\">FAIRBANKS YOUTH ADVOCATES<\/p>\n<p align=\"center\">BOARD MEETING<\/p>\n<p align=\"center\">OCTOBER 29, 2012<\/p>\n<p><strong>Roll Call:<\/strong><\/p>\n<p><strong>Present:<\/strong>\u00a0 Patrick Endres, Danny Bramer, Kathryn Birch, Brad<\/p>\n<p>Johnston, Sarah Finnell, Barbara Tyndall, Meryrem Kugzruk<\/p>\n<p><strong>Absent<\/strong>:\u00a0 Marylee Bates, Dave Miller, Rilene Ann<\/p>\n<p><strong>Prayer<\/strong>: Barb Tyndall opened the meeting in prayer.<\/p>\n<p><strong>Minutes:<\/strong>\u00a0 Danny moved to approve the September minutes; Patrick seconded; approved unanimously.<\/p>\n<p><strong>Unfinished Business<\/strong>:\u00a0Danny reported on the 25% match needed by FYA for our grant.\u00a0 He and Dave are preparing to ask local merchants and companies \u00a0for building materials.\u00a0 Marylee, Rhonda Boyles, and Danny \u00a0are creating a letter for these donations and a second letter to send \u00a0to Alaska Funding Source. Brad had someone contact him who writes grants professionally and may want to research grants for FYA; she may also write them for us (Loretta Smith).<\/p>\n<p><strong>Treasurer\u2019s Report<\/strong>: Brad gave us a printed report.\u00a0 See attached.<\/p>\n<p><strong>Gas reimbursement for Marylee<\/strong>:\u00a0 A monthly stipend is taxable; a monthly expense is not.\u00a0 We can \u00a0average a monthly rate after keeping a mileage log for a period of time; which she has done.\u00a0 Brad said 55.5 cents a mile is the standard.\u00a0 Patrick moved; Danny seconded to reimburse Marylee Bates mileage incurred for FYA at the standard business rate.\u00a0 Approved unanimously.<\/p>\n<p><strong>Merchant account<\/strong> issues were discussed.\u00a0 Brad explained that with this service we would get ability to use credit card donations.\u00a0 Danny is mostly interested in the recurring donations. Cost for the service is $300.\u00a0 Patrick asked if we need two accounts.\u00a0 Brad said cards are linked to bank accounts.\u00a0 If the machine goes through Clearwater Counseling, that adds to the accounting burden; we would need to pull those funds from Dave\u2019s machine.\u00a0 Greater Good would work better for our needs.\u00a0 Patrick said it sounds like we need two accounts.\u00a0 Brad is going to research these plans to see which is the best and most cost effective.\u00a0 Brad moved to set up a credit card platform for donations.\u00a0 Patrick seconded\u2014approved unanimously.<\/p>\n<p><strong>Dave\u2019s Salary<\/strong>:\u00a0 Brad reported on pay rates from State of Alaska, Department of Labor.\u00a0 Dave\u2019s Salary and housing allowance was set December 2008 and has not been adjusted since.\u00a0 It\u2019s approximately $43 per hour.\u00a0 Dave has requested a 10% increase ($9000).\u00a0 He also requested a housing allowance increase.\u00a0 Danny moved to raise Dave\u2019s salary as requested effective January 1, 2013.\u00a0 New compensation amount is $98,100.\u00a0 Seconded by Patrick; approved unanimously.<\/p>\n<p><strong>NHS art fundraiser<\/strong>: \u00a0Meryem informed us that the National Honor Society from Lathrop and West Valley High School want to unite to do an art auction as a fundraiser for FYA.\u00a0 The tentative goal is to have this in the spring.\u00a0 Board members offered their help as needed.<\/p>\n<p><strong>Enlarge\/establish \u201cexecutive board\u201d:\u00a0 <\/strong>The executive board is currently made up of Patrick and Marylee.\u00a0Brad said that officers of many organizations are considered the executive board.\u00a0 Patrick requested that Danny come on board to help plan agendas, etc. Danny agree to do so when he is available.<\/p>\n<p><strong>Executive Director Limitations<\/strong>:\u00a0 This document came from the Rescue Mission.\u00a0 The board agreed that the financial data is not pertinent to FYA at this time.\u00a0 Brad said it would make sense if we had an endowment, but we don\u2019t.\u00a0 The FYA board deleted the financial piece and adopted the rest of the document.\u00a0 Kathryn made the motion; Sarah seconded; approved unanimously.<\/p>\n<p><strong>\u00a0<\/strong><strong>Fundraiser direction: <\/strong>Danny said he needs someone who is going to be here in December for a fundraiser.\u00a0 Another organization was approached by an artist to donate art to fund an event for them.\u00a0\u00a0 They want to partner with FYA and\u00a0perhaps share the proceeds\u00a0for the event\u00a0with\u00a0us.\u00a0 It is in the planning stages.\u00a0 Danny wanted to be sure the board is ok with this.\u00a0\u00a0An art auction is planned for December 7 at Friends Church. FYA will not be doing this; we just need a table with information about our shelter and services.\u00a0\u00a0FYA board members thought this was a good idea and will be thankful for any funds they choose to give us.\u00a0 They also committed to help as needed.\u00a0 Danny will be gone and needs members to fill the gap.<\/p>\n<p>Mike Powers, the CEO of FMH, is open to a future relationship with FYA.<\/p>\n<p>Danny is working with K-Love and they are going to interview Marylee in December.<\/p>\n<p>Sarah is working on the monologues and all production costs have been donated.\u00a0 She is looking for a theater to do this as a summer project.<\/p>\n<p>Danny also suggested the Amazon Wish List to add later as a possible funding source.<\/p>\n<p><strong>Temporary Shelter<\/strong>:\u00a0 We will be functioning as a temporary shelter in November.\u00a0 Patrick posed the following questions to the board:\u00a0 What are our questions?\u00a0 What don\u2019t we know?\u00a0 Kathryn wanted to know if it was a drop-in?\u00a0 Sarah said youth are checked-in and are given an assigned sleeping area.\u00a0 If they leave, they cannot come back.\u00a0 They get up at 6 a.m. and showers are available.\u00a0 We cannot provide food because we aren\u2019t licensed.\u00a0 Danny asked about the male\/female arrangements since that question has been put to him.\u00a0 Sarah said the idea is that there will be a male and female staff person there and they will be awake all night.\u00a0 It is near the police station which helps with any security issues. If there was an incident; Marylee would be our spokesperson.\u00a0 Board members will refer questions to her; she will inform the board of any incident via e-mail. \u00a0\u00a0\u00a0The Executive Director will develop a protocol with all key people involved in the shelter for notification and response to incidents.<\/p>\n<p>There was a note from Marylee\u2019s report about the delay in getting our insurance.\u00a0 Insurance must be in place, prior to getting grant funding.<\/p>\n<p><strong>Legal advice<\/strong>\u2014FYA is still looking for a board member to provide this service.\u00a0 Brad suggested Foraker as a legal provider to pass our documents to for review.\u00a0 He said they are very affordable.\u00a0 Patrick said we will check this out.<\/p>\n<p>Patrick shared a chart of the FYA governing Board of Director in partnership with Fairbanks Rescue Mission.\u00a0 The chart showed our staff, volunteers, vistas, and others.\u00a0 It was also a flow chart of future employees and when they would be hired.\u00a0 This chart is for The Door.<\/p>\n<p><strong>Documents and Policies<\/strong>:\u00a0 Patrick will work on these tomorrow and requested the board read them over and send him their comments.\u00a0 Brad asked if this was for The Door or the temporary shelter.\u00a0 Patrick replied that the documents should identify which.<\/p>\n<p><strong>Next meeting<\/strong> scheduled for November 26, Monday from 5-7pm.<\/p>\n<p><strong>Meeting adjourned at 7:02<\/strong><\/p>\n<p><strong>Respectfully Submitted:\u00a0 <\/strong>Barbara Tyndall, Secretary<\/p>\n","protected":false},"excerpt":{"rendered":"<p>FAIRBANKS YOUTH ADVOCATES BOARD MEETING OCTOBER 29, 2012 Roll Call: Present:\u00a0 Patrick Endres, Danny Bramer, Kathryn Birch, Brad Johnston, Sarah Finnell, Barbara Tyndall, Meryrem Kugzruk Absent:\u00a0 Marylee Bates, Dave Miller, Rilene Ann Prayer: Barb Tyndall opened the meeting in prayer.
