{"id":1233,"date":"2012-08-01T13:30:16","date_gmt":"2012-08-01T21:30:16","guid":{"rendered":"http:\/\/www.fairbanksyouthadvocates.org\/board\/?p=1233"},"modified":"2012-11-20T10:23:36","modified_gmt":"2012-11-20T19:23:36","slug":"draft-minutes-7-31-12","status":"publish","type":"post","link":"https:\/\/fairbanksyouthadvocates.org\/board\/2012\/08\/01\/draft-minutes-7-31-12\/","title":{"rendered":"Meeting minutes 7-31-12"},"content":{"rendered":"<p style=\"text-align: left;\" align=\"center\">FAIRBANKS YOUTH ADVOCATES<br \/>\nBOARD MEETING<br \/>\nJULY 31, 2012 \u00a05:00\u20147:00<\/p>\n<p>Roll call<\/p>\n<p>Present: Patrick Endres, Barbara Tyndall, Kathryn Birch, Rilene Ann, Sarah Finnell, Meryem Kugzruk, Brad Johnston, Marylee Bates<\/p>\n<p>Absent:\u00a0 Danny Bramer<\/p>\n<ol>\n<li>Prayer\u2014Meryem Kugzruk opened in prayer<\/li>\n<li>Minutes Approved unanimously<\/li>\n<li>Unfinished Business\n<ol>\n<li>Google Docs\u2014Patrick Endres asked who is familiar with this program.\u00a0 Most have had some experience with it.\u00a0 Marylee and Patrick have used it extensively.\u00a0There is a link on the FYA website to share documents.\u00a0 We can also share through g-mail once we are given approval.\u00a0 <em>Categories<strong> <\/strong><\/em>lists all the documents related to FYA.\u00a0 Patrick gave a demonstration on how to share documents and work on them collaboratively.<\/li>\n<\/ol>\n<\/li>\n<li>Board Gathering\u2014scheduled for August 25 from 9:00\u20141:00.\u00a0 A business meeting will take place at 8:30.\u00a0 Topics for the day are as follows:\n<ol>\n<li>Constituency Model\u2014link available on our website<\/li>\n<li>Board Training\u2014roles and responsibilities<\/li>\n<li>Planning: updating goals<\/li>\n<li>\u00a0February Fundraising<\/li>\n<li>\u00a0Other topics as needed<\/li>\n<\/ol>\n<\/li>\n<li>Position Descriptions:\u00a0 Brad Johnston suggested that we can evaluate salaries for a clinical director annually, based on cost of living data.\u00a0 We can offer a 3-year contract with a probationary period. We need to keep state requrements in mind when considering salaries particularly in regard to exempt employees as the overtime rules for non-exempt employes are fairly specific.\u00a0Brad offered to research the state&#8217;s view of stipends. Patrick suggested we the reevaluate the Clinical Director\u2019s salary at a future meeting.\u00a0 The Clinical Director\u2019s position, as a licensed minister would also need to be documented and researched for benefits.\u00a0 Salary details for this position will be discussed at a future business meeting.<\/li>\n<\/ol>\n<p style=\"padding-left: 60px;\">A director evaluation committee was added to our site.<\/p>\n<p style=\"padding-left: 60px;\">It was suggested that it be put in writing a best practice for client confidentiality for Dave Bates\u2019 smartphone, noting password protection, etc., and this be added to the job description. Marylee will research best practices &amp; policies for this.<\/p>\n<p style=\"padding-left: 60px;\">The salary for our Executive Director was discussed.\u00a0 Our goal for this salary will be researched and a stipend or reduced salary will be paid and added to until such a time as the goal can be met.\u00a0 This will be checked annually. There are some grants that can be applied for to alleviate some of the cost. \u00a0This was also tabled until a future meeting; possibly in September.<\/p>\n<p style=\"padding-left: 60px;\">The \u00a0following positions and contracts were unanimously agreed upon and will be posted on our\u00a0blog site.\u00a0 Brad requested that the salaries be locked in soon to facilitate the creation of our budget.\u00a0 This needs to be done by the first of the year.\u00a0 Fairbanks Youth Advocates board hired Dave Bates as Clinical Director and Maylee Bates as the Executive Director of FYA.<\/p>\n<ul>\n<li>Clinical Director (Dave Bates)<\/li>\n<li>Executive Director (Marylee Bates)<\/li>\n<li>Employment Contracts\u2014Clinical Director only<\/li>\n<\/ul>\n<ol>\n<li>Promotion of Fairbanks Youth Advocates:\n<ol>\n<li>30-second PSA:<\/li>\n<li>Video: Sarah Finnell reported that she contacted professors at UAF who forwarded her request to students.\u00a0 Sarah received a call from Nannette who would like to work on this for free.\u00a0 Her time frame is August.\u00a0 The board agreed that we should move forward on this offer; the price is right and would lay the groundwork for future projects. Marylee agreed to take it on and asked for Nannette\u2019s phone number.<\/li>\n<li>Parenting Tips\u2014radio PSA\u2019s is one idea<\/li>\n<\/ol>\n<\/li>\n<li>Vista Update:\n<ol>\n<li>Sarah: (see agenda notes)<\/li>\n<\/ol>\n<\/li>\n<li>Community Meeting Update\u2014Since we won\u2019t have a shelter this winter, alternative plans were discussed on July 13 by community members. \u00a0Marylee reported that a group of agency leaders came up with four suggestions:\u00a0 Shared spaces (such as a church not used during week); vouchers for hostels and bed and breakfasts; the Housing First project going on at South Cushman\u2014perhaps using unused parts of that building.\u00a0 The fourth one is Host Homes; for youth to be embedded in a family helps get them through school.\u00a0 The next community meeting will be August 31 at 10:00 a.m. at Public Health.\u00a0 There is an Ameri-Corps person from Joel\u2019s place who needs an internship and may be available to coordinate this project. He will be paid through Joel\u2019s Place.<\/li>\n<\/ol>\n<p>Marylee said this entire plan might turn out to be a back-up plan for every winter when beds are full.<\/p>\n<ol>\n<li>Donations for July:\u00a0 $360 ($260 from Walk for Charity)<\/li>\n<li>Borough Property Taxes:\u00a0 We are required to pay property taxes this and most of next year.\u00a0 We will no longer be required to pay them once we have the shelter operating as a shelter.<\/li>\n<li>Fatbet.net\u2014Patrick reported that this is a site created by a friend of his.\u00a0 Participants wager how much weight they would like to lose.\u00a0 If they don\u2019t make the goal, they pay up.\u00a0 Patrick put $100 for FYA if goals aren\u2019t made and many have signed on!<\/li>\n<li>Committee Reports:\n<ol>\n<li>Volunteer &amp; Events Committee<\/li>\n<li>Fundraising: met Friday, June 29 from 5:00 to 6:30\u00a0 Danny, Sarah, Rilene, Barbara were in attendance.\u00a0 Are planning an event for February 8.
